My Department is a detailed, line-by-line collection of reports for departments and similar groups. Some of the questions it can help answer include:

  • Who are our current or former students?
  • Which classes were offered, when, who took them, and who taught them? What else have they ever taught?
  • Who is being advised, by whom, and how has that changed over time?

How do I look up an individual by name on the Single XX tabs?

My Department has a number of tabs for looking up individuals - students, postdocs, instructors, and advisors. The person's EMPLID is required to run these report, but the prompts are designed so that users can look up a person by name to generate their EMPLID by following these steps:

  1. Type a name (Last, First) into the prompt OR click the drop down arrow and select 'More/Search' to find the person you want. Users may want to search for the name to ensure the person's name as it is listed in SIRIS is correctly selected.
  1. The person's EMPLID will populate (you may need to wait a minute for the system to load the EMPLID in the prompt).
  1. Click Apply to run the report.


EMPLID hyperlinks work, but do not update prompt filters when going between Single Instructor and Single Advisor tabs, or vice versa.

Context: Throughout the dashboard users have the ability to click on an EMPLID hyperlink to jump to the Single XX tabs. For example, you can click on a student EMPLID on the My Current Students tab to view that student's information on the Single Student tab. 

Quirk: When using EMPLID hyperlinks between the Single Instructor and Single Advisor tabs, users will notice that the report updates with the selected person, but the dashboard prompt does not. This is because the reports pull from different subject areas in SIRIS.

Example: A user looks up an instructor on the Single Instructor tab. 

They click on the EMPLID hyperlink to jump to the Single Advisor tab to view that faculty member's advising history. The Single Advisor tab correctly loads that person's data, but the prompt on the left is not updated with that person's information (Advisor EMPLID, Advisor Name).

This is could be particularly confusing when using the EMPLID hyperlinks multiple times between these two reports. Users may see the report update for the selected person, but the previous person's EMPLID and Name remain in the prompt on the left.

Known issue searching for certain courses on the Class Roster tab

Issue: Users may encounter an issue looking up certain courses on the Class Roster tab due to the "Subject-Number contains all" filter. For example, if a user tries to look up ECON 1, the report will pull up all ECON classes in the selected time period that start with a 1. 

Solution: The work around solution is for users to look up ECON classes on the My Classes tab, and click on the Crosslisted Subject- Catalog Numbers hyperlink to jump to the Class Roster tab for that class.
